Position Summary

Provide general administrative support to the IT organization, with primary responsibility for hardware procurement, asset tracking, telecom invoice reviews, hard drive imaging, tracking employee onboarding and offboarding, procuring new hire equipment and maintaining statistical data for montly IT reporting against IT tickets.

Ensure all day-to-day activities are maintained through ongoing communication, prioritization, organizing and handling of new projects as assigned. This position reports directly to the Sr. Director of IT.

Essential Duties and Responsibilities

  • Responsible for hardware/software procurement, asset tracking and management, and laptop disposal; recycle and charity programs.

  • Working with the desktop team, identify machines that are nearing end of life, and process quarterly hardware refresh orders.

  • Asset tracking all incoming and existing hardware and maintaining location information.

  • Imaging hard drives for new hire setups and hardware refreshes.

  • Responsible for setting up and processing new hire mobile and VoIP phones.

  • Processing offboarding IT tickets, and ensuring hardware is collected and hard drives submitted to Global Security.

  • Processing onboarding IT tickets, and ensuring hardware is processed and delivered upon the appropriate start date.

  • Responsible for tracking, reporting and processing expense reports on a monthly basis.

  • Ensuring the IT store rooms are clean and organized on a weekly basis.

  • Assit the Facilities department in the setup of workstations and offices.

  • Managing all incoming and outgoing hardware shipments. This includes timely coordination of new hire setups and other shipments as requested.

  • ‪Assist in developing and documenting policies and procedures, as requested

  • Responsible for adhering to ISO 27001 and QMS 9000 policies.

Additional Duties and responsibilities

  • Support IT projects as requested.

  • Update job knowledge by researching new technologies and participating in educational opportunities.

  • Identify ways to streamline and upgrade existing IT processes.

  • Ability to work on-call rotation, overtime, rotating schedules, weekends, holidays and call-outs as a condition of employment, based on the needs of the business.


Minimal Qualifications

  • 1 – 2 years experience working with an IT organization.

  • Strong working knowledge of Windows 7, Outlook 2013, Excel 2013, Word 2013 and PowerPoint 2013.

  • Knowledge of or exposure to ISO 27001 and QMS 9000.

  • Strong analytical skills with experience in metrics reporting desired
