Job Description


POSITION PURPOSE:

This Sales Coordinator/SRA position will support and assist Area Director of Sales & Marketing, Area Director of Revenue Management, and Regional VP Sales & Marketing-North Region in daily administrative and SRA duties.

The person who will fill this important role will be responsible for gathering month end production reports from the 10 Starwood managed properties and some SRA duties. SRA duties will include preparing Starboard reports, gathering month end reports from each property such as Sales Production Summary from SIP (Sales Incentive Plans), P&L, PDA, and forecast reports from SAP. It will also include creating some excel spreadsheets and assisting the SRA team as needs arise. This person will assist in administrative duties and coordinating appointments, meetings, and gathering information for the Area Directors as needed.

The qualified candidate will have a strong excel spreadsheet knowledge to provide reports for the Area Directors and manage office paper-flow, faxes, mail, etc. This position requires an individual who has an attention to detail, can multi task and work for multiple managers. This position is ideal for someone that is looking to get into sales or revenue management and who would like to become a Sales Manager or a Revenue Manager in the future. It may include other duties as assigned.


ESSENTIAL FUNCTIONS:

(% of time)


40% Consolidate month end production reports from the 10 Starwood managed properties and some SRA duties. SRA duties will include preparing Starboard reports, gathering month end reports from each property such as Sales Production Summary from SIP (Sales Incentive Plans), P&L, PDA, and forecast reports from SAP. Creating Excel spreadsheets and assisting the SRA team as needs arise.


25% Perform clerical duties such as typing correspondence and reports, filing, and answering phones. Maintain and upkeep various filing systems, including vendor information where necessary. Assist in administrative duties and coordinating appointments, meetings, travel arrangement and gathering information for the Area Directors as needed.


5% Receive visitors or stakeholder calls. Answer questions and concerns; follow through either to resolution or refer to the appropriate manager.


5% Assure all incoming and outgoing correspondence is received, mailed and/or filed as required.


10% Assist directors in correspondence with GM’s, DOSMs, DORMs and sellers when required.


10% Maintain a professional working environment and attitude.


5% Maintain and upkeep of all office equipment.


Requirements


EDUCATION:

Bachelor Degree preferred


EXPERIENCE:

At least one year of sales system management or related analytical experience preferred


SKILLS/KNOWLEDGE:



  • excellent computer skills with knowledge of Excel, Word, and Outlook

  • possess excellent teamwork, communications skills and an innovator with an eye towards constant improvement in guest satisfaction and operating efficiency

  • Must be able to speak, read, write and understand the primary language(s) used in the workplace.

  • Must be able to read and write to facilitate the communication process.

  • Requires good communication skills, both verbal and written.

  • Must possess basic computational ability.

  • Must possess computer skills, including Microsoft Office 97, Excel and PowerPoint.

  • Ability to accurately type at least 50 words per minute.
