Job Description Evoqua Water Technologies LLC has an open position for an experienced Administrative Assistant in our West High Purity Branch in San Carlos, CA. Key responsibilities include: Opening and closing service orders Issuing credit memos Billing and invoicing customers, including billing resolution Gathering Purchase Orders for Customer Service Data entry into SAP consisting of opening and closing service orders and invoicing. Customer service duties including answering phones calls, assisting customers and directing callers appropriately. High level of customer interaction Analyzing customer account information, researching errors and/or missed opportunities Running reports generated from Word & Excel for customer submission Scheduling resources such as people, meetings, appointments, rooms, and equipment; answers telephone calls, takes messages, responds to questions, and directs callers to appropriate parties, as necessary; sorts and distributes mail, fax, make copies, files *Drafting and editing routine memos and other correspondence Assisting with the preparation of presentations, reports, spreadsheets and other documents Assisting in maintaining database information in SAP Organizing and maintaining office supplies/files as needed Contributing to the team effort by assisting the branch and business unit in goal achievement. The successful candidate will have the following qualifications: A high school diploma or GED equivalent Minimum of 4 to 5 years’ experience in an Administrative Assistant role, preferably within a manufacturing or service related industry. SAP experience is preferable, but will train individual with similar database experience. Excellent computer skills, including Microsoft Word, Excel , Outlook and data entry General accounting experience is helpful but not necessary. Excellent organizational skills, a team player, self-motivated and dependable. Ability to analyze information and solve problems. 4 to5 years’ experience with billing/invoicing strongly desired Experience working with remote groups is preferred but not necessary Excellent verbal and written communication skills, capable of interfacing with all levels of the organization Self-starter and ability to think outside the box Qualified candidates should submit a resume with salary requirements.
